Bespoke Dental ("we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at https://bespokedds.com (the "Site").

This Privacy Policy applies solely to information collected directly through this Site.

Important Notice Regarding Protected Health Information (PHI) & Patient Services

This Privacy Policy governs general website visitors and non-clinical online interactions.

If you are a patient receiving dental care from Bespoke Dental, or if you submit Protected Health Information (PHI)—such as booking an appointment, paying a bill, or logging into your patient account via our integrated Dentrix Ascend patient portal—your health and financial information is protected under the Health Insurance Portability and Accountability Act (HIPAA) and applicable state laws.

For detailed information on how we handle, store, and protect your clinical records and health data, please review our separate [Notice of Privacy Practices (HIPAA) Link].

Information We Collect

We collect information from you in two primary ways: information you voluntarily provide to us and technical data collected automatically through site operations.

Information You Voluntarily Provide

  • Website Contact Forms: When you submit an inquiry through our website contact forms, we collect information such as your name, email address, telephone number, and the message content you choose to provide.

  • Appointment Requests & Patient Account Interactions: When you request an appointment, manage your patient account, or make a payment on our site, you are redirected to or served by our secure third-party practice management partner, Dentrix Ascend. Information submitted through these scheduling and payment tools is handled securely in accordance with HIPAA standards and our Notice of Privacy Practices.

Information Collected Automatically
When you navigate our Site, our web servers and analytics partners automatically log standard technical data, including:

  • Internet Protocol (IP) address, browser type, and operating system.

  • Pages viewed, links clicked, time spent on pages, referring URLs, and general geographic location (city/state level).

Analytics, Pixels, and Tracking Technologies

We use cookies, web beacons, and similar tracking tools to evaluate website usage, improve performance, and measure the effectiveness of our online marketing campaigns.

Analytics Tools

We utilize Google Analytics 4 (GA4), Google Search Console, and Squarespace Analytics to collect anonymized statistical data about site traffic, user behavior, and search queries. These tools use cookies to help us understand how visitors interact with our Site.

Advertising Pixels

We use Google Ads tracking pixels to measure the performance of our online search and display advertisements. These pixels help us understand whether website visits result in specific non-clinical actions on our site.

We do not place advertising pixels on patient health intake forms or pages collecting protected health information.

Managing Cookies

You can instruct your web browser to reject all cookies or to notify you when a cookie is being set. Please consult the "Help" or "Settings" menu of your browser (Chrome, Safari, Firefox, Edge) to adjust your cookie preferences. Disabling cookies may affect your browsing experience on certain parts of our Site.

How We Use Your Information

We use the non-health information collected through our Site for legitimate business and operational purposes, including to:

  • Respond to your general inquiries and customer service requests submitted via our website forms.

  • Maintain, optimize, and improve our Site’s design, navigation, performance, and security.

  • Analyze website traffic trends and evaluate the performance of our Google Ads advertising campaigns.

  •  Protect against fraudulent or unauthorized activity and enforce our website Terms of Service.

Note: We do not currently send promotional email newsletters or automated marketing email campaigns.

How We Share Your Information

We do not sell, rent, or trade your personal information. We share website information only in the limited circumstances described below:

  • Service Providers: We share data with trusted third-party technology partners who support our website operations and clinical care, including our site host (Squarespace), practice management system (Dentrix Ascend), and analytics providers (Google). These providers are bound by strict data security and confidentiality obligations.

  • Legal Compliance: We may disclose information if required to do so by law, court order, subpoena, or law enforcement request, or to protect the legal rights, property, and safety of Bespoke Dental, our staff, or the public.

  • Business Transfers: In the event of a practice reorganization, merger, or sale of business assets, general web data may be transferred as part of that corporate transaction.

Third-Party Services & External Links

Our Site integrates with third-party service providers (such as Dentrix Ascend for scheduling and billing) and may contain links to external websites. We do not control and are not responsible for the privacy practices, content, or security of external third-party sites or non-affiliated services. We encourage you to review the privacy policies of any third-party tools or sites you access.

Data Security and Retention

We maintain physical, technical, and administrative safeguards designed to protect your personal information against loss, misuse, or unauthorized access. All online appointment booking and payment features processed via Dentrix Ascend utilize industry-standard encryption protocols (SSL/TLS).

However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute transmission security for general website forms.

We retain non-clinical website data only as long as necessary to satisfy operational analytics, customer support, or legal compliance obligations.

State Privacy Rights (Colorado)

Under the Colorado Privacy Act (CPA) and applicable state laws, Colorado residents have rights regarding personal information collected by commercial entities, subject to statutory exemptions (notably including health data regulated under HIPAA).

You may request access to, correction of, or deletion of any non-clinical personal data you have provided through our general website forms by contacting us at office@bespokedds.com.

Children's Privacy

Our Site is designed for general adult audiences and parents seeking dental care for themselves or their families. We do not knowingly collect personal information online directly from children under the age of 13. If you believe a child under 13 has submitted personal information through our general contact form without parental consent, please contact us immediately so we can remove the data.
